  • Recruitment & Application Data: Full details collected during a job application (see Section 7 for a complete breakdown).
  • Communications: Content of any emails, messages, or correspondence you send to us.

3.2 Information Collected Automatically

  • Technical Data: IP address, browser type and version, device type, operating system, time zone, referring URL, and pages visited.
  • Usage Data: Pages viewed, links clicked, time spent on pages, scroll depth, and navigation paths across our website.
  • Cookie & Tracking Data: Data collected via cookies and similar tracking technologies (see Section 9).

3.3 Information from Third Parties

  • If you contact us via WhatsApp, we may receive your phone number and the content of your message through the WhatsApp Business platform.
  • If you apply via LinkedIn or another job board that redirects you to our site, we may receive data you pre-fill from your profile, subject to your settings on that platform.
  • Analytics providers (e.g., Google Analytics) may share aggregated, anonymised insights about how visitors interact with our site.

We only process your personal data where we have a valid legal basis to do so:

7. Recruitment & Job Applications

GlyphCode Studios operates a Careers page and a dedicated Job Application page. When you submit an application, we collect and process the following data solely for recruitment purposes:

  • Personal Identification: Full name, date of birth, gender, and nationality.
  • Contact Information: Email address and phone number — used only to communicate about your application.
  • Location: City and state of residence.
  • Role & Availability: Position applied for, employment type preference, expected salary/compensation, notice period, and earliest available joining date.
  • Educational Background: Degrees, diplomas, institutions, boards/universities, years of passing, and grades/CGPA for all qualifications disclosed.
  • Work Experience: Previous employers, job titles, employment dates and types, and key responsibilities or achievements.
  • Skills & Portfolio: Technical and creative skills, proficiency levels, and links to portfolio, LinkedIn, GitHub, Behance, Instagram, or other professional profiles you choose to share.
  • Languages: Languages and proficiency levels you indicate.
  • Cover Letter & Motivation: Your written statement expressing interest in the role and GlyphCode Studios.
  • Uploaded Documents: Resume/CV and any optional work-sample files attached to your application.
  • Referral Source: How you heard about the vacancy (e.g., LinkedIn, Instagram, referral, job board).

Application Account & Session

To apply for a position, you must create a lightweight applicant account (email + password). A secure session token is issued upon login and stored in your browser's sessionStorage or localStorage to keep you signed in during your visit. Passwords are stored as hashed values — we never store plaintext passwords.

Application Status Tracking

After submission you may track the status of your application directly from the Careers page by entering your registered email address. We will display the current review stage (e.g., Submitted, Under Review, Interview Scheduled, Decision Made) without exposing any other applicant's data.

Withdrawing Your Application

You may withdraw your application at any time while it is in the Application Submitted or Under Review stage, directly from the Track Application panel. Once withdrawn, your application record — including all personal details, uploaded documents, and cover letter — is permanently and immediately deleted from our systems. Withdrawal is not possible once your application has progressed to the Interview Scheduled or later stage; in such cases, please contact us at info@glyphcodestudios.com to request manual deletion.

How We Use Recruitment Data

  • Assess your qualifications and suitability for applied or similar roles
  • Communicate with you regarding interviews, assessments, or application status
  • Comply with applicable employment, equal-opportunity, and anti-discrimination laws
  • Consider your profile for future openings — only with your explicit consent

Retention of Application Data

If your application is unsuccessful, we will retain your data for a maximum of 6 months from the date of our final communication, after which it will be securely and permanently deleted. If we wish to retain your profile beyond this period for future opportunities, we will seek your explicit written consent before doing so.

Withdrawn applications are deleted immediately and permanently upon withdrawal — no retention period applies.

If you are hired, your application data is transferred to your personnel file and retained for the duration of your employment plus the period required by applicable labour and tax laws.

Sharing of Application Data

Application data is strictly accessible only to GlyphCode Studios team members directly involved in the recruitment process. It is never shared with third-party recruiters, advertisers, data brokers, or any external party without your explicit consent.

8. Data Security

We take the security of your personal data seriously and have implemented appropriate technical and organisational measures to protect it against accidental loss, unauthorised access, alteration, or disclosure. These measures include:

  • HTTPS encryption for all data transmitted to and from our website
  • Secure, access-controlled server environments for data storage

  • Marketing Cookies: Used to deliver relevant advertisements and track campaign effectiveness. Only set where permitted by your consent choices.

GlyphCode Studios is based in India. Your personal data is primarily stored and processed within India. However, some of our third-party service providers (e.g., cloud hosting and analytics platforms) may process data in other countries. Where data is transferred outside your home country, we ensure appropriate safeguards are in place (such as standard contractual clauses or reliance on processors with equivalent data protection standards) to protect your information in accordance with this policy.

12. Data Retention

We retain personal data only for as long as is necessary to fulfil the purposes for which it was collected, including satisfying legal, accounting, or reporting requirements.

  • Enquiry / Contact Data: Up to 2 years from last contact, after which it is deleted unless an ongoing client relationship exists.
  • Client / Project Data: For the duration of the client relationship plus 7 years (for financial and legal compliance).
  • Recruitment / Application Data (unsuccessful): Up to 6 months from final communication (see Section 7).
  • Recruitment / Application Data (withdrawn by applicant): Deleted immediately and permanently upon withdrawal. No further retention applies.
  • Employee Data (if hired): Duration of employment plus the period required by applicable labour laws.
  • Website Analytics: Aggregated / anonymised data may be kept indefinitely; IP-level data is retained for up to 26 months as per Google Analytics defaults, then deleted.

13. Your Rights

Depending on your location and applicable privacy laws, you may have the following rights regarding your personal data:

  • Right of Access: Request a copy of the personal data we hold about you.
  • Right to Rectification: Request correction of any inaccurate or incomplete data.
  • Right to Erasure ("Right to be Forgotten"): Request deletion of your personal data where there is no legitimate reason for us to continue holding it.

  • Right to Data Portability: Request a machine-readable copy of your data to transfer to another provider.

  • Right to Withdraw a Job Application: As a specific exercise of your Right to Erasure, you may withdraw your submitted application directly via the Track Application panel on our Careers page while it is still in the Submitted or Under Review stage. This permanently deletes all associated data immediately.
  • Right to Lodge a Complaint: File a complaint with your local data protection authority if you believe your rights have been infringed.

14. Children's Privacy

Our website and services are not directed to individuals under the age of 18. We do not knowingly collect personal data from minors.
